The Chalmers International Reception Committee (CIRC) is a student organization dedicated to welcoming and supporting incoming master’s and exchange students at Chalmers. As part of the team, you will help organize events and activities that encourage new students to connect, make friends, and feel at home within the Chalmers community. Beyond the reception, you will also contribute to building a global student community and support students as they navigate life at Chalmers and in Gothenburg.

Open Roles

President

Leads the committee, oversees planning, coordinates members, and represents CIRC in official meetings.

Key Responsibilities

  • Lead and support the committee in all planning and operations.
  • Oversee the event timeline, goals, and overall direction.
  • Collaborate with the Treasurer and Vice President on finances and logistics.
  • Represent the committee in official meetings and discussions.
  • Ensure tasks are completed on time and align with the committee’s goals.

Vice President

Supports the President; handles bookings, purchases, and vendor communication to keep logistics efficient.

Key Responsibilities

  • Handle event bookings, purchases, and vendor communication.
  • Support the President in managing the committee’s activities.
  • Track progress and assist other team members when needed.
  • Help solve problems quickly and efficiently.

Skills & Qualities

  • Strong organizational and communication skills.
  • Reliable and detail-oriented.
  • Good at multitasking and managing deadlines.
  • Practical and solution-focused mindset.

Treasurer

Owns budgeting and financial records; ensures spending is approved, tracked, and within limits.

Key Responsibilities

  • Plan and maintain the budget with the President.
  • Record expenses and handle reimbursements.
  • Support financial decisions for events and logistics.
  • Provide budget updates during meetings.

Skills & Qualities

  • Organized and responsible with money.
  • Good with numbers and spreadsheets.
  • Transparent and detail-oriented.
  • Team player who communicates clearly.

Phadder Manager

Recruits, trains, and supports Phadders; keeps communication clear and motivation high.

Key Responsibilities

  • Recruit and assign Phadders to groups.
  • Organize training and team-building sessions.
  • Maintain clear and regular communication.
  • Support and motivate Phadders throughout the reception.

Skills & Qualities

  • Able to motivate and manage volunteers.

Event Manager

Plans and executes reception events; handles schedules, logistics, and cross-team coordination.

Key Responsibilities

  • Plan and manage event details, schedules, and logistics.
  • Work with the Vice President to book venues and arrange materials or permits.
  • Provide event info to the Treasurer for budgeting and to the PR team for promotion.
  • Oversee setup, execution, and post-event follow-up.

  • Enjoys teamwork and coordinating activities.

PR & Marketing Manager

Runs social media and communications; creates content and promotes events with clear, consistent visuals.

Key Responsibilities

  • Manage social media platforms and event communication.
  • Design posters, posts, and visual content.
  • Work with the Event Manager to promote upcoming activities.
  • Keep information consistent and visually appealing.

Skills & Qualities

  • Creative and communicative.
  • Basic design or social media skills (e.g., Canva, Instagram, WordPress).
  • Attention to detail and good writing skills.
  • Able to meet deadlines and manage multiple tasks.
